DentalDrive LLC ("we," "us," or "our") is committed to protecting your privacy and the confidentiality of your business information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using DentalDrive, you agree to the collection and use of information in accordance with this policy and our Security & Privacy standards.

1. Information We Collect

Account Information

When you create an account, we collect:

  • • Contact person name and title
  • • Email address and phone number
  • • Password (encrypted)
  • • Billing information
  • • Tax ID or business registration number

Business Data

As a business file backup service, we store and process business data including:

  • • Practice management documents
  • • Administrative files and records
  • • Employee training materials
  • • Operational documents
  • • Billing and financial information
  • • Any other business files you choose to backup

Important: All business data is encrypted at rest and in transit. We never access your data except for technical support with your explicit permission or as required by law.

Note: DentalDrive is designed for business operations files. For patient health information, please use certified EHR/PMS systems designed specifically for that purpose.

Usage Information

We automatically collect certain information when you use the Service:

You can update or correct your account information directly. For business data corrections, update your source practice management software and changes will sync automatically.

Export

You can export all your data at any time in standard formats through the dashboard or by contacting support.

Deletion

You can request deletion of your account and data. We retain data for 90 days after account closure for recovery purposes, then permanently delete it (unless required by law to retain).

Restrict Processing

You can request restrictions on how we process your data, subject to legal and operational requirements.

Opt-Out

You can opt out of non-essential communications at any time via unsubscribe links or account settings.

6. Data Retention

We retain your information for as long as necessary to provide the Service and comply with legal obligations:

  • Active accounts: Data retained indefinitely while account is active
  • Account closure: 90-day retention for recovery purposes
  • Legal requirements: Some data retained for 7 years (billing, audit trails)
  • Backups: Deleted data removed from backups within 90 days
  • Analytics: Aggregated, anonymized data may be retained indefinitely

7. Children's Privacy

DentalDrive is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children. While the Service may store business documents, this is under the control of dental practices, not directly from children themselves.

8. International Data Transfers

DentalDrive operates in the United States. If you access the Service from outside the US, your information will be transferred to and processed in the United States.

By using the Service, you consent to the transfer of your information to the US and processing in accordance with US laws and applicable regulations.

9. Updates to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

  • • Update the "Last Updated" date
  • • Send email notification to registered users
  • • Display a prominent notice in the Service
  • • Provide a summary of changes

Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
